Catering Sales Coordinator

JOB SUMMARY:

The Catering Sales Coordinator is responsible for coordinating the sales activity to the Culinary Academy of Las Vegas.  This individual will also be tasked with providing support to the sales team, this may include but not limited to assisting with the following: internal special & social events, weddings and conventions... They will also handle inquiries from potential and prospective clients, maintain records and forward inquiries to the respective members of the sales team.

The Catering Sales Coordinator  will service multiple clients while maintaining positive customer relations and implement activities on and offsite.  Consistently meeting obligations and exceeding quality customer service standards will be a prerequisite in successfully completing this role.

This position is physically located at the Culinary Academy of Las Vegas’ main campus with outreach  and expectations to travel for special events and potential clients across the Las Vegas valley.

EXPERIENCE AND KNOWLEDGE:

  • Working knowledge of principles and processes for providing positive customer and personal services.
  • Proven ability to understand and anticipate the customer’s needs.
  • Possess basic food and beverage knowledge.
  • Successful in meeting quality standards for services, and evaluation of customers’ satisfaction both oral and written.
  • Knowledge of the structure and content of the English language including proper composition, spelling and grammar.
  • Carry strong organizational skills.
  • Superb customer service skills, including proper phone etiquette.
  • Successful track record of multi-tasking
  • Strong knowledge of event logistics, execution and timelines.
  • Working knowledge of Microsoft Outlook, Microsoft Office Suite, Delphi, Infogenesis and Iplan.
  • Extraordinary experience in resolving customer issues/complaints as well as overall excellent customer service skills.
  • Solid time management, organization, and prioritization skills,
  • Demonstrated ability to effectively build and foster a team environment, ability to make decisions in a fast-paced environment.

 

EXAMPLES OF DUTIES:

  • Creates and develops client BEO’s & EO’s from notes from both Catering Sales Associate Manager(s) and/or Vice President of Sales and Culinary Operations.
  • Distributes final BEO’s & EO’s to internal staff on a timely basis, serves as a liaison for client and sales staff, handles sales communications including sales kits, letters and billing and client and vendor billing.
  • Handles inquiries regarding catering/special events. Arranges calendars for the Catering Sales Associate Manager(s) including coordinating appointments, tastings, internal meeting for clients, vendors and miscellaneous meeting, ensure that all customer needs are met promptly.
  • Performs related administrative duties such as assisting with answering telephones, ordering office supplies and responding to clients via e-mail.
  • Must keep all sales files organized, secured and PCI compliant.
  • Screens and directs all catering & internet inquires, telephone calls, and mail.
  • Type’s correspondence, memos, BEO’s, daily event sheets, daily change logs, 10 day packets, and reports as assigned and distribute to all operational staff.
  • Input and maintenance of all Delphi data; for all events including inquires form clients and potential clients, events details/status, set-up, service and financials.
  • Creates buffet signage and printed menus as required. Prepares or sources event layouts and places line orders as required.
  • Prepares proposals for events to be reviewed and approved by the Catering Sales Associate Manager and or Vice President of Sales and Culinary Operations prior to being sent to a client.
  • Details and distributes event & banquet event orders to all internal departments and confirms details.
  • Conduct tours of venue spaces as requested.
  • Processes payments and deposits in Info-genesis including inputting into Delphi and prepares final event invoicing & processes customer refunds.

 

REQUIREMENTS:

  • Two (2) years of college or related experience preferred.
  • A Bachelor’s Degree in Hospitality, Marketing or related field is highly desirable,
  • A minimum of two (2) years of progressive responsibility in the food and beverage industry; specifically scheduling and handling catering/banquets and special events.
  • Valid SNHD Health Card.
  • Valid Nevada Class C Drivers’ License
  • Flexibility to work various shifts and weekends
